Policy on privacy

Scope

The purpose of this policy is to inform you about the personal information collected by the Élections Québec website, the methods used to collect it and how it is used.

Definition

Personal information is information about a natural person that enables identifying that person either directly or indirectly. Examples of personal information are a person’s name, address, telephone number and email address.

Collection of personal information

Our website enables us to collect your personal information within the context of our online services. We collect your personal information when you, among other things:

  • Check your registration on the list of electors.
  • Register for voting outside Québec.
  • Make a contribution to a provincial political party.
  • Apply for a position during a recruitment campaign (returning officer, election officer, member of the Citizen round table, etc.).
  • Sign up for a mailing list.

We also collect your personal information when you file a complaint or comment with us and when you contact our information centre by email or real-time messaging (chat).

When you contact us or use one of our online forms, we also collect the personal information needed to process your request. When certain information is not needed to handle your request or to reply (for example, in the case of some forms), we indicate that this information is optional.

The personal information that we collect on our website is confidential and is subject to the rules set forth under the Act respecting Access to documents held by public bodies and the Protection of personal information.

Use of personal information

We use your personal information to process your online requests or reply to your emails. We do not use this information for other purposes without your consent. Your personal information is only available to the members of our personnel who are authorized to use it.

Automatic collection of personal information

Cookies

When you visit our website, your browser exchanges data with our server. We use cookies to memorize some information about your device to facilitate your browsing on our website. Your device creates and saves these cookies. The cookies do not allow Élections Québec to identify you.

You can, at any time, deactivate the use of cookies by adjusting your browser settings. This may, however, prevent you from using some online services or features. When you close a warning message, for example, it may reappear several times, because our website cannot detect that you have read it.

Website statistics

We use Google Analytics to obtain statistical data on the volume of traffic to our website and to better understand the interests of visitors to our website. When you consult our website, this tool automatically collects the following information:

  • Your device’s IP address.
  • The type of browser you are using.
  • Your operating system.
  • The pages you consult.
  • The date and time of your visit.
  • The address of the website from where you accessed our website.

This information is anonymized before being recorded and processed by Google. This means that we do not convey your personal information to this service provider.

Use of marketing monitoring tools

We use marketing monitoring tools also called pixels, offered by Facebook and Twitter, on certain pages of our website. These tools make us aware of some of your actions while browsing our web pages. If you show, for example, an interest in a certain subject, especially when consulting a particular section of our website, we can use this information to retarget advertising. You may, therefore, receive personalized advertising from us when visiting Facebook and Twitter or the websites of their partners.

We need your consent in order to use these monitoring tools. When we use them on pages of our website, a notice allows you to consent or not to their use. By agreeing to the use of these monitoring tools, some aspects of your visit to our website are added to your profile with this third party. The use of these monitoring tools does not enable Élections Québec to identify you.

At any time, you can change your preferences for the marketing monitoring tools on each of our websites.

Network security

We communicate the IP address of your device, the date and time of your visit and the pages that you visit to our Go Secure service provider. This communication is necessary to ensure the integrity of our website.

Links to other websites

Our website contains links to other websites not operated by us. When you consult these other websites, your personal information is not subject to our confidentiality policy. We encourage you to learn about the confidentiality policies of these websites before providing any of your personal information.
